We are looking for a Procurement Specialist to join our team and help manage our organization’s procurement needs. 

Job Description Summary:

  • Researching and identifying prospective suppliers/partners

  • Liaising with internal project teams and maintaining strong supplier relations

  • Evaluating products and suppliers according to key business criteria


Job brief

Procurement Specialist responsibilities include researching new suppliers, ensuring that all purchased products and materials meet our specifications, and negotiating with vendors as needed.

Ultimately, you will work with leaders in our organization to understand the needs of our organization and ensure we achieve our supply goals in a timely manner.

 

Essential Functions

  • Prepare proposals, request quotes and negotiate purchase terms and conditions

  • Prepare and issue purchase orders and agreements

  • Monitor supplier performance and resolve issues and concerns

  • Inspect and evaluate the quality of purchased items and resolve shortcomings

  • Analyze industry and demand trends and support senior management with the development and implementation of sourcing strategies

  • Facilitate import/export and logistics matters, i.e. customs clearance of procured goods;

  • Prepare and maintain project exemption letters and shipments logs;

  • Work with the Finance and Administration team on the receiving of goods and inspection process;

  • Manage relationships with freight forwarders to coordinate the transport of goods to final destinations;

  • Serve as a point of contact for logistics-related questions during audits;

  • Process documentation for transfers between subcontractors, and also between subcontractors and other government

Requirements and skills

  • Proven work experience as a Procurement Specialist or similar role

  • Good working knowledge of purchasing strategies

  • Excellent communication, interpersonal and negotiation skills

  • Strong analytical thinking and problem-solving skills

  • Proficiency in Microsoft Office and with business application software, purchasing and resource planning systems

 

Qualifications: Education, Experience, Knowledge and Skills

  • Ability to influence and work with various technical leads in different organizations

  • Ability to interface directly with executives and other senior leaders

  • Expert level skills in PM tools, Excel and Power point

  • Experience demonstrating strong leadership, self-motivation and accountability

  • Agile delivery experience is a major plus

  • Fast learner on both technical side and business side

  • Strong customer centric mindset

  • Proactive sense of urgency and ‘can do’ attitude

  • Strategic thinker who can balance big picture strategy with detailed, flawless execution

  • Availability beyond routine working hours.

Travel required: When necessary or required, work or travel away from the office or duty station to meet with vendors and partners or to complete assigned tasks or projects.

Work authorization/security clearance requirements: must have the required work/employment authorization/permit.
